Summary
What a Program Coordinator does in CareCard — set requirements, admit students, and track their progress.
As a Program Coordinator, you run intake and compliance for one or more programs. You decide what students must submit, who gets access, and follow how everyone is doing.
Everything you see is scoped to the programs you coordinate and to the year and term you pick in the top bar. A student in another program on your campus — one you don't coordinate — won't appear in your lists.

New to the role? Read Understanding Your Role first. It covers your scope, what's on your side menu, and the one thing you can't do.
Then see Your Institution for what the Institution page shows you and how to invite another coordinator to your program.
The Coordinator's Year
Most of your work falls into three phases. Set up comes first, because with no template assigned, nobody has any requirements.
- Set up — before anyone enrols. Build your requirements and assign them to your program for the term.
- Intake — as people request access. Pre-approve the roster you already know; review everyone else.
- Through the term — as documents arrive. Follow submissions, watch the whole cohort, and reach the people who haven't started.
Template assignments are per term, so you assign again for each new year or term.
What Each Page Covers
Set up your requirements
- Setting Program Requirements — Build requirement items, group them into a template, and assign that template to your program for a term. This creates the checklist your students see.
Decide who gets in
- Pre-Approving Students — Load the roster you already expect so their access requests clear automatically.
- Reviewing Institution Access Requests — Approve, reject, or ask for more from everyone else.
Follow how it's going
- Checking Student Submissions — See what each student has submitted and where it stands.
- Tracking Program Progress — The Insights dashboard for your whole cohort.
- Messages — Follow up about missing work.
- Tagging Students — Group students by semester, level, or anything else you filter on.
One thing is not yours: approving or rejecting a submitted document. That decision belongs to CareCard staff. See Checking Student Submissions for what you can do instead.
